1. Parties & Acceptance
These Terms constitute a legally binding contract between you and SnapBooks. By using the App you confirm that:
- You are at least 13 years of age (or the minimum digital age of consent in your jurisdiction)
- If you are under 18, you have obtained verifiable parental or guardian consent
- You have the legal authority to enter into this Agreement
- You are not barred from receiving services under the laws of any applicable jurisdiction
These Terms apply to all versions of the App distributed via Google Play, Apple App Store, or any other channel.
2. Description of Service
SnapBooks is a receipt scanning and personal expense management application that uses AI, optical character recognition (OCR), and machine learning to extract structured data from receipt images. Features include:
- AI-powered receipt scanning and data extraction
- Expense categorisation and management
- Scan credit system (free and Pro tiers)
- Data export in multiple formats
- Cloud synchronisation via Firebase
- In-app advertising (free tier)
We reserve the right to modify, suspend, or discontinue any part of the Service at any time without liability to you.
3. User Accounts & Security
Account Registration: You may use the App as a guest with limited functionality. Full features require account registration via Google Sign-In or other supported providers.
Your Responsibilities:
- You are solely responsible for maintaining the confidentiality of your credentials and all activity under your account
- You must notify us immediately at snapbookocr@gmail.com upon discovery of any unauthorised access
- You must not share your credentials with any third party
- You must provide accurate and complete account information
Account Termination by Us: We reserve the right to suspend, disable, or permanently terminate your account at our sole discretion, without prior notice, for any reason including breach of these Terms, fraudulent activity, or legal requirement.
Effect of Termination: Upon termination, your right to access the App ceases immediately. No refunds of unused subscription periods will be issued due to termination for cause.
4. Scan Credits & Subscription Plans
Free Tier: New users receive a limited allocation of scan credits. Guest users receive a separate limited quota tied to their device.
SnapBooks Pro Subscription: A paid subscription unlocks a higher scan credit allocation, premium features, and reduced advertising. Available on a recurring monthly or annual basis.
Credit Carry-Over Policy: Unused scan credits remaining on a free-tier account at the moment of upgrading to Pro are added to your Pro allocation for that billing period. This carry-over is a courtesy feature and may be modified or withdrawn at our discretion.
Expiry Grace Credits: Upon expiration or cancellation of a Pro subscription, you will receive a grace allocation of free-tier scan credits. This grace allocation is subject to change.
Billing & Payment: All billing, payment processing, and cancellation is handled exclusively by Google Play Store or Apple App Store. SnapBooks does not collect or store payment card information. Prices are displayed at purchase and are subject to change.
Renewals: Subscriptions auto-renew unless cancelled at least 24 hours before the end of the current billing period through your App Store account settings.
Refunds: ALL PURCHASES ARE FINAL AND NON-REFUNDABLE except as required by applicable law or App Store refund policy. We have no obligation to refund for partially used periods or removed features.
Credit Expiry: Scan credits may expire at the end of each billing or reset period. Expired credits are forfeited and have no monetary value.
5. Acceptable Use Policy
You agree that you will NOT:
- Use the App for any unlawful, fraudulent, deceptive, or harmful purpose
- Upload images containing illegal, harmful, defamatory, obscene, or privacy-infringing content
- Attempt to reverse-engineer, decompile, or disassemble the App
- Use automated scripts, bots, or crawlers to access the App
- Circumvent, disable, or interfere with any security or access control mechanisms
- Attempt to gain unauthorised access to any systems or networks used by the App
- Resell, sublicense, rent, or redistribute access to the App or its features
- Use the App to process receipt data on behalf of third parties for commercial gain without written consent
- Introduce malware, viruses, or any malicious code into the App
- Use the App in violation of any applicable local, national, or international law
6. AI & OCR — Accuracy Disclaimer
• OCR AND AI EXTRACTION RESULTS MAY CONTAIN ERRORS, INACCURACIES, OR OMISSIONS
• EXTRACTED DATA MUST BE INDEPENDENTLY REVIEWED AND VERIFIED BY YOU BEFORE ANY USE
• SNAPBOOKS MAKES NO WARRANTY REGARDING THE ACCURACY OR RELIABILITY OF AI-EXTRACTED DATA
• YOU ARE SOLELY RESPONSIBLE FOR ANY FINANCIAL, TAX, OR BUSINESS DECISIONS BASED ON APP DATA
• THE APP IS NOT A SUBSTITUTE FOR PROFESSIONAL ACCOUNTING, TAX, LEGAL, OR FINANCIAL ADVICE
• SNAPBOOKS SHALL NOT BE LIABLE FOR ANY LOSS ARISING FROM YOUR RELIANCE ON AI-EXTRACTED DATA
By using the App you expressly acknowledge and accept all risks associated with AI-generated data extraction.
7. Intellectual Property Rights
Our IP: All intellectual property in the App — including software code, algorithms, UI/UX design, trademarks, logos, brand identity, and documentation — is owned by or exclusively licensed to SnapBooks. Nothing in these Terms transfers any IP ownership to you.
Licence to You: We grant you a limited, personal, non-exclusive, non-transferable, non-sublicensable, revocable licence to install and use the App solely for your personal or internal business expense tracking.
Your Content: You retain full ownership of receipt images and expense data you submit. By submitting content, you grant SnapBooks a worldwide, royalty-free licence to process your content solely to provide and improve the App.
Feedback: Any feedback or suggestions you provide may be used by SnapBooks without restriction, compensation, or attribution.
Restrictions: You may not copy, modify, distribute, sell, or create derivative works from the App or its content without our express prior written consent.
8. Third-Party Services
The App integrates the following third-party services:
- Google Firebase — authentication, real-time database, analytics (Google LLC)
- RevenueCat — subscription and in-app purchase management (RevenueCat Inc.)
- Google AdMob — advertising network (Google LLC)
- AI Model Providers — receipt image analysis (Google Gemini, DeepInfra, DeepSeek)
- Google Play / Apple App Store — app distribution and billing
Each service has its own terms and privacy policy. SnapBooks is not responsible for third-party data practices, actions, or policies, and is not liable for any harm caused by third-party services.
9. Advertising
The free tier displays advertisements served by Google AdMob (Google LLC). By downloading or using the free tier, you acknowledge and consent to the following:
- Receipt of personalised and non-personalised advertisements within the App
- Collection of your Android Advertising ID (GAID) or Apple IDFA by Google AdMob for ad targeting, measurement, and fraud prevention
- Collection of device information and interaction data (impressions, clicks) by ad networks
- Use of tracking technologies by ad networks as described in our Privacy Policy
User Conduct Regarding Ads: You agree that you will NOT:
- Click on advertisements fraudulently or instruct others to do so
- Use automated tools, bots, or scripts to interact with advertisements
- Attempt to manipulate, block, or circumvent ad delivery
- Engage in any activity that constitutes invalid traffic under Google AdMob policies
SnapBooks has no control over specific ads displayed and is not responsible for ad content, accuracy, or legality. Pro subscribers experience reduced advertising as described in Section 4. Advertising data practices are governed by the Google Advertising Policy.
EEA and UK users will be shown a consent dialogue before personalised ads are displayed, in accordance with GDPR requirements.
10. Privacy
Your use of the App is governed by our Privacy Policy, incorporated into these Terms by reference. By using the App you consent to the collection and use of information as described therein.
11. Disclaimer of Warranties
• WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT
• WARRANTIES THAT THE APP WILL MEET YOUR REQUIREMENTS OR BE AVAILABLE ON AN UNINTERRUPTED, SECURE, OR ERROR-FREE BASIS
• WARRANTIES REGARDING THE ACCURACY OR QUALITY OF ANY DATA PROVIDED THROUGH THE APP
• WARRANTIES THAT DEFECTS OR ERRORS WILL BE CORRECTED
12. Limitation of Liability
• DIRECT, INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES
• LOSS OF PROFITS, REVENUE, DATA, BUSINESS, OR GOODWILL
• DAMAGES ARISING FROM RELIANCE ON OCR-EXTRACTED OR AI-GENERATED DATA
• DAMAGES ARISING FROM ERRORS IN EXPENSE RECORDS
• DAMAGES ARISING FROM UNAUTHORISED ACCESS TO YOUR DATA
• INTERRUPTION OR CESSATION OF THE SERVICE
OUR MAXIMUM AGGREGATE LIABILITY SHALL NOT EXCEED THE GREATER OF: (A) TOTAL FEES YOU PAID IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) USD $10.
13. Indemnification
You agree to indemnify, defend, and hold harmless SnapBooks and its affiliates, officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising from:
- Your access to or use (or misuse) of the App
- Your User Content
- Your violation of any provision of these Terms
- Your violation of any applicable law or regulation
- Your violation of any rights of any third party
This indemnification obligation survives termination of these Terms.
14. Termination
By Us: We may terminate or suspend your access at any time, immediately and without prior notice, for any reason including breach of these Terms or illegal activity.
By You: You may stop using the App at any time. To terminate your account, contact snapbookocr@gmail.com. Termination does not entitle you to any refund.
Survival: Sections 6, 7, 11, 12, 13, 15, and 16 survive termination of these Terms.
15. Governing Law & Dispute Resolution
Governing Law: These Terms shall be governed by applicable laws without regard to conflict of law principles.
Informal Resolution: Before initiating formal proceedings, contact us at snapbookocr@gmail.com and attempt good-faith resolution for at least 30 days.
Arbitration: If not resolved informally, disputes shall be submitted to binding individual arbitration. YOU WAIVE YOUR RIGHT TO PARTICIPATE IN CLASS ACTIONS OR REPRESENTATIVE ACTIONS.
Time Limitation: ANY CLAIM MUST BE FILED WITHIN ONE (1) YEAR AFTER IT AROSE, OR IT IS PERMANENTLY BARRED.
16. General Provisions
Entire Agreement: These Terms, together with the Privacy Policy, constitute the entire agreement between you and SnapBooks regarding the App.
Severability: If any provision is found unenforceable, it shall be limited to the minimum extent necessary, and remaining provisions remain in full force.
No Waiver: Our failure to enforce any right shall not constitute a waiver of that right.
Assignment: You may not assign these Terms without our consent. We may assign freely.
Force Majeure: We shall not be liable for failures resulting from causes beyond our reasonable control.
Updates: We may modify these Terms at any time. Continued use after the effective date constitutes acceptance.
